Outdoor Vendor Information & Application

Thank you for submitting your interest in the 2025 West Niagara Fair!

We would like to welcome you join us at this year's Fair!

To confirm your vendor spot you must:

  • Complete the detailed form below
  • Pay for your spot via e-transfer to vendors@westniagaraagsociety.ca (Please ref VEN2025)
  • Forward your certificate of insurance to vendors@westniagaraagsociety.ca indicating coverage of at least $2 million liability insurance, listing West Niagara Agricultural Society as additionally insured

Hours of Operation for Vendors: 

Outdoor vendors are not required to attend on Sunday, but must advise WNAS in advance if they plan to be absent.

Friday September 5th                   4:00pm to 9:00pm (buildings close at 9:00pm) *Derby Night!

Saturday September 6th             10:00am to 9:00pm (buildings close at 9:00pm) *Wrestling! 

Sunday September 7th                10:00am to 5:00pm (buildings close at 5:00pm)  *Derby Day! 


Set up times: 

Thursday September 4th    4:00pm to 7:00pm 

Friday September 5th          11:00am to 2:00pm (All sites must be operational to the public by 4pm today).

Community Groups & Not-for-Profits: 

We welcome local community organizations to apply for a discounted vendor rate. Groups seeking a discount must provide a free interactive activity for fairgoers (e.g., Giant Jenga, Cornhole, games, crafts, etc.). Please note your intended activity.

West Niagara Fair 2025 - Vendor Marketplace Guidelines

General Expectations

  • Vendors must treat all WNF & WNAS volunteers, staff, and attendees with respect, and courtesy at all times.
  • Vendors are responsible for keeping their space clean and tidy throughout the event.
  • Vendors must keep all products, materials, tables, etc. within their assigned space. No extensions are permitted unless agreed in writing.


Site Setup

  • Vendors must bring their own tables, chairs and displays.

Please ensure that tables and set-ups fit within your allocated space - measure ahead of time. 

Damage Deposit Policy

Upon arrival at the fair, vendors are required to provide a $50 cash deposit.

This deposit will be fully refunded at the end of the Fair, provided that:

  • Your space has been fully cleared
  • No damages have been caused
  • All rules have been followed
  • Your space is left clean and tidy (including removal of any tape or staples)

You have checked out with the designated WNF Vendor Marketplace coordinator

Failure to meet any of these requirements may result in forfeit of the deposit.

Agreement

1. West Niagara Agricultural Society (hereinafter referred to as WNAS) will not be held responsible for any loss, damage, or accident, however caused to any person or property during the Fair. The undersigned shall indemnify and hold harmless WNAS; its members, agents, and employees from and against all claims, demands, losses, damages, suits or proceedings by any third parties that may arise out of, or may be attributed to, all operations performed by or carried out on the said premises by the undersigned, his agents, employees, or anyone for whose acts he may be held liable, howsoever caused.

2. All vendors must provide a certificate of insurance including a minimum of $2,000,000 coverage naming WNAS as additional insured. This certificate must be submitted to vendors@westniagaraagsociety.ca before the start of the fair. 

3. Precautions will be taken by WNAS to ensure the safety of displays which are placed at the vendor's risk.

4. All hydro equipment and connections must conform to Ontario Hydro and CSA Approval Standards.

5. Public address systems or subletting of space is not permitted without written permission of the Fair.

6. The vendor is permitted to sell only those items listed on the approved Vendor Application.

7. The vendor agrees to staff their space at all times during the fair hours of operation as stated above and agrees to not commence tear down prior to 5pm on Sunday September 7th. 

8. Vendors must present a valid vendor pass at all times when entering the grounds - no exceptions.

9. Undue noise or unseemly methods of demonstration employed while operating site will not be tolerated.

10. Refuse/ waste containers for use inside the Vendor Space are the responsibility of the vendor. WNAS will provide general refuse/ waste containers in the public spaces.

11. The vendor agrees to remove all materials, supplies, and equipment immediately following closing time of the final day of Fair or at the discretion of the WNAS. Failure to comply will result in WNAS removing and disposing of any items at the expense of the Vendor.

12. The Vendor agrees to abide by all rules and regulations adopted by the WNAS in the best interest of the Fair and agrees that WNAS shall have the final decision in adopting any reasonable rule or regulation deemed necessary prior to, during and after the fair. WNAS reserved the right to cancel this agreement at any time if, in its opinion, the terms and conditions are not being met.

13. West Niagara Fairgrounds does not allow the sale of weapons, replica weapons, ammunition or any objects promoting hate in any form. We reserve the right to refuse space to any vendors selling or promoting items that are deemed inappropriate by West Niagara Agricultural Society (WNAS). Refunds will not be issued and you may be asked to leave the grounds for non-compliance.

14. Applications will not be finalized until payment has been received.


Please note cotton candy, candy/caramel apples, caramel corn, sno-kones, corn dogs, lemonade, slushies, poutine, blooming onions, mini donuts and funnel cakes may NOT be sold.
