Food Vendor Information & Application

Food Vendor Registration

The West Niagara Fair takes place over three days. We ask our vendors to be set up and ready to sell beginning on Friday, September 6th from 4:00 pm and remain open during our operating hours until Sunday, September 8th at 5:00 pm.

ALL VENDORS MUST HAVE INSURANCE  COVERAGE. See below under Event Insurance for an option with our partner Duuo Insurance.

We provide meal tickets to our volunteers- Please accept any tickets handed in to your booth as you would money and then hand them in to the West Niagara Fair Office for reimbursement after the fair has ended. 

Sites will be confirmed once:

  • The below form is completed
  • A copy of your most recent public health inspection report has been provided 
  • Payment has been made via e-transfer to admin@westniagarafair.ca (Please ref FOVEN2024)
  • A copy of your $5 million liability insurance has been provided (deadline August 1st). Please name West Niagara Agricultural Society as additional insured to your policy.

Friday September 6th                   4:00pm to 9:00pm (buildings close at 9:00pm) *Note Derby Night! 

Saturday September 7th             10:00am to 9:00pm (buildings close at 9:00pm)

Sunday September 8th                10:00am to 5:00pm (buildings close at 5:00pm) 

Set up times: 

Thursday September 5th    4:00pm to 7:00pm 

Friday September 6th          11:00am to 2:00pm (All sites must be operational to public by 4pm today).

EVENT INSURANCE

Great news! We have partnered with Duuo Canada to be able to provide our vendors with the insurance policy we require. 1. West Niagara Agricultural Society (hereinafter referred to as WNAS), will not be held responsible for any loss, damage, or accident, however caused to any person or property during the fair. The undersigned shall indemnify and hold harmless WNAS; its members, agents, and employees from and against all claims, demands, losses, damages, suits or proceedings by any third parties that may arise out of, or may be attributed to, all operations performed by or carried out on the said premises by the undersigned, his agents, employees, or anyone for whose acts he may be held liable, howsoever caused.
2. All vendors must provide a certificate of insurance including a minimum of $5,000,000 coverage naming WNAS as additional insured. This certificate must be submitted to admin@westniagarafair.ca by 1st of August, 2024.
3. Precautions will be taken by WNAS to ensure the safety of displays which are placed at the vendor's risk.
4. All hydro equipment and connections must conform to Ontario Hydro and CSA Approval Standards. The cost of electrical service (hydro) will be at the vendor's expense.
5. Public address systems or subletting of space is not permitted without written permission of the Fair.
6. The vendor is permitted to sell only those items listed on the approved Vendor Application.
7. The vendor agrees to staff their space at all times during the fair hours of operation as stated above and agrees to not commence tear down prior to 5pm on Sunday September 8th.
8. Vendors must present a valid vendor pass at all times when entering the grounds- no exceptions.
9. Undue noise or unseemly methods of demonstration employed while operating site will not be tolerated.
10. Refuse/ waste containers for use inside the Vendor Space are the responsibility of the vendor. WNAS will provide general refuse/ waste containers in the public spaces.
11. The vendor agrees to remove all materials, supplies, and equipment immediately following closing time of the final day of Fair or at the discretion of the WNAS. Failure to comply will result in WNAS removing and disposing of any items at the expense of the Vendor.
12. All Vendors agree to maintain clean premises and observe sanitary food handling practices and follow all Niagara Public Health Regulations.
13. The Vendor agrees to abide by all rules and regulations adopted by the WNAS in the best interest of the Fair and agrees that WNAS shall have the final decision in adopting any reasonable rule or regulation deemed necessary prior to, during and after the fair. WNAS reserved the right to cancel this agreement at any time if, in its opinion the terms and conditions are not being met.
14. West Niagara Fairgrounds does not allow the sale of weapons, replica weapons, ammunition or any objects promoting hate in any form. We reserve the right to refuse space to any vendors selling or promoting items that are deemed inappropriate by West Niagara Agricultural Society (WNAS). Refunds will not be issued and you may be asked to leave the grounds for non-compliance.
14. Applications will not be processed until payment has been received.
